Emailing Files into fu3e

You can email your files and photos into fu3e

*Please speak with your environment administrators to discuss enabling this feature and access to it.

 

 Steps to follow:

1.   Within the files tab in each project there is an "Upload Files via Email" button.

2.   Click the "Upload Files via Email" button to reveal two options:

  • Copy the email address and save as a contact in your mail client (e.g., Outlook or Gmail).

  • Click the "Send me an email" button.

Option 1 - You will need to create a new email and select the saved contact or paste in the copied email address and attach your files and click send.

3.   When you receive the email, click reply and then just as above, simply attach your files and click send.Screenshot 2024-10-24 143609

Note:

Once the email has been received by fu3e (please bear in mind this time can vary depending on networks and files sizes), there will be a new button within the files tab to show the "pending" status of the files.

These files have not yet been added to the project.

Any user with permission to upload and view all files can complete the upload from this point. However, you will only see the files that you have uploaded if you do not have the "view all files" permission.

4.   Upon clicking the "Pending Files" button, a pop-out window will appear, allowing you to add details and information to the files. Just like when manually uploading files, you can add this data one-by-one, or select multiple files to add the same tags simultaneously.

5.   Once the required fields have been completed, the row for that file will show as green.

6.   To finalise the upload, please click the "upload files" button in the bottom right corner.

7.   Your files will now be visible on the project to anyone with permission to view files.

Tip:

To help you and your team manage the files that are received, emails can be setup to notify at one or a combination of different frequencies:

On Receipt – A notification will be sent shortly after files are received. We’ve included a 15-minute delay to ensure that if multiple files are forwarded within a short time frame, they’re grouped into one clean notification rather than triggering multiple separate alerts. The user will receive a single email covering any files received within that 15-minute window.

Daily – At 8am GMT each weekday, users will receive an email listing all files currently pending upload. These are clearly separated by project for easy review.

Weekly – At 8am GMT every Monday, users will receive a summary email listing all files currently pending upload, also separated by project.

You can only email into a project you have permission to upload files into.

Each project has a unique email address. 

The file size restriction for fu3e is 4Gb per file. However, most email service providers have their own restriction, usually around 25MB per email.
